Concierge Management · for independent recruiting advisors
Your athletes are your athletes.
ProZpects Concierge Management is a free platform for the advisors, former coaches and small firms who guide families through college recruiting. Run your whole roster in one place. Your athletes get verified profiles college coaches trust, and an introduction to coaches who already know the standard behind them. You keep your clients, your fee, and your method.
Who it's for
Advisors with a full roster and a spreadsheet.
You already know how to advise an athlete. The hard part is remembering where twelve of them are at once — whose film needs cutting, which coach was contacted in March, which family is about to call because they have not heard anything in three weeks.
Almost nobody in this business has a real system for that. We read 332 advisor websites in September 2026; at most eight showed any purpose-built recruiting software. The rest run what you probably run — a spreadsheet, a form, and an inbox. That is not a failure. It is what happens when the tools were never built for this work.
What you get
The platform is free. All of it.
- Every athlete you advise on one screen
- Film, evaluations, and notes kept with the athlete
- Target school lists built and tracked per athlete
- Coach outreach worked from the list, so nothing gets sent twice
- Recruiting timeline by grade and stage
- Your own package tiers, with each athlete on one
- Family reporting produced from the record, not written by hand
- Billing and renewals handled instead of chased
- Your roster, your notes, your method — we do not change how you work
How it is free
There is no licence, no seat fee, and no per-athlete charge to you. The platform is funded by ProZpects memberships held by the athletes you advise — the same membership that verifies their information and gives their family a clear view of your work.
You will see your whole roster from the first day. Athletes without a membership stay in the system, in your list, where you can work around them.
Built for the work
You already do this. We built the tools for it.
We read 900 recruiting advisors’ own descriptions of what they sell before we built this. We were not looking for gaps in your service. We were looking for the parts of it that a system should be carrying instead of you.
-
You cut and manage highlight film
193 of 900 advisors we surveyed sell film or video work
Video management in the app
Highlight links and testing video live on the athlete’s record, next to the numbers they belong to — not in a folder on your desktop.
-
You build target lists and contact coaches
The core of the job, in every package we read
The list builder
The same tool our own concierge managers use. Build the school and coach list for an athlete, then work the outreach from it — one place to see who has been contacted and who has not.
-
You have to prove the numbers are real
No independent advisor we surveyed produces audited measurables
Verification camps
Independently measured combine numbers, recorded by us and attached to the profile with the method and date.
-
You sell in tiers, not one flat service
236 of 900 advertise packages — one runs six levels, $599 to $2,999
Package tier management
Set your own levels and put each athlete on one. The system knows what a Gold athlete gets that a Bronze athlete does not, so you are not tracking entitlements in your head.
-
The family paid you and then went quiet for a month
Published fees run past $2,999, and most families see nothing between calls
Family reporting
A clear view of what has been done for their athlete, produced from the record rather than written by you on a Sunday night.
-
You are chasing payments across four apps
We found WooCommerce, Stripe, PayPal, Square, Venmo and hand-typed invoices — and 68 advisors selling something recurring
Automated billing
Bill your tiers, take renewals, and stop reconciling by hand. Whichever of the three payment routes you choose, the money side runs itself.
-
You keep every athlete’s plan on track
The part that breaks first as a roster grows
The management system
Every athlete, every stage, one screen — the same system that runs our own concierge team.
Your service has its own levels, its own packages and its own way of working. We are not asking you to change any of it. The platform holds the record so you can spend the hour on the athlete instead of on the admin.
The commitment
In our DNA, and in the contract.
We should say the obvious thing out loud: ProZpects also runs its own concierge service for families who come to us directly. We are not going to pretend otherwise, and you should not have to find that out later.
Here is how we handle it. Your athletes are your athletes — written into the agreement you sign, not offered as a courtesy. A promise you cannot enforce is not worth much, so we put it somewhere you can.
-
We do not contact your families
Not while you work together, and not after. Your client relationship is excluded from the agreement you sign with us.
-
We do not sell athlete data
Not to recruiters, not to services, not to anyone. Profiles are never sold or licensed, and no verified measurable leaves the platform.
-
The family decides who sees the athlete
Sharing is the family’s call, every time. The record belongs to the athlete and travels with them.
The partnership
This is not just software you download.
The part an advisor cannot build alone is the reception at the other end. We introduce the athletes you advise to college coaches who already know how our information is produced — so the profile gets read instead of deleted.
That is the whole claim, and we will not dress it up. We are not selling access, connections, or influence over anybody's evaluation. No coach owes us a response and none of them can be made to give one. What we can do is make sure that when your athlete's information lands, the person reading it already trusts where the numbers came from.
Where the numbers come from
Verification happens at a ProZpects verification camp — independently measured combine numbers, recorded by us, rather than self-reported by an athlete or an advisor.
It is the one thing in this market that cannot be solved with a better spreadsheet, because it needs a standard and someone other than the seller to apply it.
How it is paid for
Three ways. You pick, and you can change it.
Option one
The family buys it
The athlete's family holds their own ProZpects membership, separate from what they pay you. Nothing changes about your fee.
Option two
You buy it for them
You cover memberships for the athletes you carry. The family never sees a second invoice, and the relationship stays entirely yours.
Option three
You build it into your package
Membership is part of what you sell, priced how you choose. Verification becomes something your service includes.
Pricing depends on how many athletes you carry and which option suits your business. We would rather talk it through than publish a number that does not fit you.
What it is not
Three things we won't claim.
- ✗
Not a CRM
You are advising athletes, not working a sales pipeline. We built this around the recruiting cycle, not a deal funnel.
- ✗
Not a lead source
We do not send you clients and we do not claim we will. Finding families is your business and it stays your business.
- ✗
Not a guarantee
No platform can promise an offer, a scholarship, or a coach response. Anyone telling you otherwise should be walked away from.
Getting started
Talk → load → choose → work.
- 01
Talk it through
A conversation about how you work now, how many athletes you carry, and whether this fits.
- 02
Load your roster
Your athletes go in as they are. You see the whole book on one screen before anyone pays anything.
- 03
Choose how it is paid
Family buys direct, you buy for your athletes, or you build it into your own package. Your call, and you can change it.
- 04
Work the way you already do
We are not retraining you. The system holds the record so you can spend the time on the athlete.
